Authors are invited to submit contributions for review and possible presentation in the symposium on topics of interest to AP-S and URSI, including advancements and innovations in the fields of electromagnetics, antennas, and wave propagation. Useful submission information and suggested topics are listed below. In addition to regularly scheduled sessions for oral and poster presentations, there will be a student paper competition as well as special sessions. All submissions are due by January 15, 2008. To fairly accommodate all the world time zones, the submission website will be closed at 11:59 hours (UTC) on January 16, 2008. The AP-S contribution corresponds to a paper with a maximum length of four pages (the paper may contain a short abstract, although this is not required or needed). The URSI contribution corresponds to an abstract with a maximum length of one page. All AP-S paper and URSI abstract submissions must be received in PDF format via the symposium Web site no later than the above deadline. Only electronic submissions in PDF format will be accepted. Since this is an IEEE symposium, electronic submissions must meet IEEE Xplore specifications, including embedding of all fonts in the PDF file (please see below for more information). Address all AP-S and URSI correspondence, including inquiries concerning papers, abstracts, the technical program, and copyright forms to Aluizio Prata at prata@usc.edu. Manuscript Preparation The language of the symposium is English. The text should be formatted single-column single-spaced and sized for 215.9 x 279.4 mm (8.5 x 11 inch) paper. The title should be centered 25.4 mm (1 inch) from the top of the first page. The author’s (or authors’) name and complete organizational affiliation should be two lines below the title. If there are multiple authors, the presenter is to be specified with an asterisk superscript at the end of the name. The text should start three lines below the last name. Left and right margins should be 38.1 mm (1.5 inches). A 25.4 mm (1 inch) margin should be present at the top and bottom of all pages. The allowed margins, and associated tolerances, for all pages are: 38.1 +/-2.5 mm (1.5 +/-0.1 in) for the left and right margins; 25.4 +/-2.5 mm (1.0 +/-0.1 in) for the top margin; and 25.4 mm (1.0 in) minimum for the bottom margin. Paragraphs are to be separated with one blank line, and a minimum font size of 11 points is recommended to maintain readability. Submissions must withstand a linear reduction to 70% of original size and maintain readability. Please do not include page numbers on submitted documents. Only the author that submits the paper will receive an (automated) acknowledgement of the submission. Additional Instructions for AP-S Authors The AP-S paper must have a maximum of four pages, including text, references, and figures. The introduction should clearly indicate how the submission relates to previous work and the unique aspects of the current submission. Footnotes should not be used except for credits to sponsoring agencies. Some useful templates can be found at MS-Word, PDF, LaTeX, CLS file for LaTeX. A (electronically) signed IEEE copyright form is necessary with all AP-S submissions; missing copyright forms will cause the paper to be rejected. After submitting the paper, the website will provide the opportunity to submit the copyright form (see step 6 on the “Steps for Submission”). At the time of submission you will also be asked to identify a session topic from the list located here. Please do your best to match your paper with one of the listed topics, and avoid selecting "Other topics." Additional Instructions for URSI Authors URSI abstract submission must consist of at least 250 words and must be limited to one page, including figures. Do not include a list of references. However, a few open-literature references may be included parenthetically, for example: (R. L. Lewis and J. R. Johler, Radio Sci., 2, 75-81, 1976). Acknowledgement of financial support is not deemed appropriate. Also, please identify the Commission and session topic for the paper from the list located here. Some useful templates can be found at MS-Word, PDF, LaTeX, CLS file for LaTeX. AP-S Student Paper Competition To be considered, a student must be the first author of the paper. The student’s advisor should attach a statement that his/her contribution is primarily advisory. After submitting the paper, the web site will provide the opportunity to upload this statement letter. In addition, at the submission time the author is requested to indicate that this is a “student paper submission,” and to conform to all other submission requirements and instructions for authors, as described in this web page (including the submission deadline). Questions on the student paper competition should be emailed to Satish K. Sharma (ssharma@mail.sdsu.edu). The rules that govern the process and outcome of the competition can be found here. Special Sessions Papers or abstracts for the special sessions must comply with all submission requirements and instructions for authors, including the submission deadline. A list of the special sessions is available here and in the submission website (see step 6 on the “Steps for Submission”). Please note that there are three types of special sessions, AP-S only, URSI only, and joint AP-S/URSI, and this establishes the submission format to be used. An AP-S only session requires papers in the AP-S format, and an URSI only session requires abstracts in the URSI format. Either the AP-S or URSI format can be used for the joint AP-S/URSI special sessions. Questions on special sessions should be directed to Nader Engheta at engheta@ee.upenn.edu. Organizers of the special sessions will be provided additional instructions. PDF Generation and/or Compliance Checking As required by the IEEE, AP-S 2008 has registered for use of the IEEE PDF eXpress™ system. The IEEE PDF eXpress is a free service to IEEE conferences, allowing their authors to make IEEE Xplore-compatible PDFs (Conversion function) or to check PDFs that authors have made themselves for IEEE Xplore compatibility (PDF Check function). The IEEE PDF eXpress can take your source files (doc, dvi, etc.) and create a PDF that meets IEEE's guidelines. It can also check an already available PDF file for IEEE compliance. It is important to note that PDF eXpress can convert a source file into a PDF file, but you must still submit the converted PDF file to this APS submission website (see step 6 on the “Steps for Submission”). The IEEE Xplore® requirements for PDF provide a unified and consistent format for the IEEE electronic archives, and have been in effect since 2005. All conference articles submitted for inclusion in IEEE Xplore, which is the case of this symposium, must adhere to the IEEE Xplore PDF specification for compatibility. Steps for Submission
If you are a new user for the AP-S submission website (step 6), please note that you need to create an account (by clicking "register" in the login page). The account created in step 5 (i.e. for the IEEE PDF eXpress) is different than the account of the AP-S submission website. On the above step 6, a non-IEEE compliant paper will be rejected with one or more error messages generated. One of the purposes of this step is to produce an easily readable and aesthetically pleasant paper, with well centered text and figures. A common cause for rejection is page margin violation. In this step the author is able to see his submission inside two boxes that indicate the acceptable margins and their tolerances; the maximum and minimum margins are depicted using red and blue lines, respectively. These lines correspond to the margin tolerances mentioned above in the "Manuscript Preparation." A paper with non-compliant margins is rejected based on these lines. If this happens, it helps to remember that the margin check is performed by rasterizing each PDF page into a bitmap, and checking all the non-white pixels of this bitmap for compliance. Hence, please be careful not to employ unacceptably thin and/or hard to see lines and colors on figures, since the above rasterization process can wash them out into oblivion. Another common cause for rejection is blank (i.e., invisible) lines above or below a visible text, or blank spaces around figures. In some available text editors, and word processors, these blank lines and/or spaces can be made apparent by turning on paragraph/format markers. Another useful feature to turn on, if available, are the rulers and grids that indicate text and figure limits. For additional assistance and information please see the following links:
