Call for Short Course and Workshop Proposals

Proposals for Short Courses (Beginner to Advanced) and Workshops (Tutorial to Expert) are invited. Sessions can be half-day or full-day.  All Short Course and Workshop sessions will be held on the Sunday preceding and the Saturday following the main portion of the Symposium.  Detailed preparation guidelines for the proposals can be found below.  To submit proposals, please e-mail them to both Roy Axford (axfordra@ieee.org) and Peder Hansen (peder.hansen@navy.mil).  The deadline for proposals is Jan.15, 2008.

Short Courses

Short Courses for the Symposium are characterized by the following points.

  • Short Courses are coherent tutorial presentations of a single topic addressed to Symposium attendees who are not necessarily specialists in that topic.
  • Short Courses are offered by a single-area expert, or by a well-coordinated team of two experts, hereinafter referred to as the instructor(s).
  • Learning objectives, prerequisites, and a detailed syllabus shall be provided by the instructor(s).
  • The instructor(s) shall arrange with the IEEE Educational Activities Department to award Continuing Education Units for all participants in Symposium Short Courses.  The Symposium Short Course Committee will provide assistance with this process for successful proposals if requested by the instructor(s).
  • All successful Short Course proposals will be approved by the Symposium Technical and Short Course Committees.

All proposals for Short Courses shall include the detailed information listed below and should be e-mailed to both Roy Axford (axfordra@ieee.org) and Peder Hansen (peder.hansen@navy.mil) no later than Jan 15, 2008.

Short Course proposals shall include the following:

  • Topic, theme, and detailed syllabus;
  • A definition of the prerequisites and learning objectives for the Short Course. (Is it for beginners or advanced students?);
  • Instructors’ biographies and competence relevant to the Short Course material;
  • Method of presentation;
  • A description of the material to be distributed to students, which shall be limited to the equivalent of 200 or 400 slides, for half-day and full-day Short Courses, respectively, printed no more than two slides per side of a sheet of letter size paper (8.5 by 11 inches); and
  • Desired schedule for the Short Course (i.e., half day, full day, Sunday preceding or Saturday following the main portion of the Symposium).

After Short Course proposal acceptance on Feb. 1, 2008 (TBR), the instructors are expected to work closely with Short Course Committee to meet the following requirements:

  • Short Course Syllabus: In order to meet the deadline for advanced program publication, we need to finalize the syllabus and instructors’ information by February 15, 2008 (TBR).
  • Short Course Materials & Distribution Release: In order for the Short Course Committee to reproduce the Short Course materials for the Symposium, the instructors should submit them in PDF or PowerPoint format online by March 1, 2008 (TBR). After the deadline of March 1, 2008 (TBR) the submission site will be closed and the instructors will be responsible for providing the Short Course materials for the Symposium in sufficient quantity. The instructors must acknowledge the limited distribution release consent online by checking the proper box.

Workshops

Workshops are intended to share information from experts in a given field with the antennas, propagation and radio science communities, but must not promote commercial products. Besides sharing information, Workshops are also expected to motivate the attendees to discuss the subjects promoting an atmosphere of participation. A Workshop is classified as Advanced or Tutorial.

  • An Advanced Workshop is targeted to engineers and/or scientists already experienced in the specific subject. Therefore, it is expected to contain the newest results, not necessarily already published, in the subject to be shared with the participants.
  • A Tutorial Workshop has the primary goal of educating engineers and scientists in newer topics in antennas, propagation and radio science. Therefore, the material will be mostly a revision of previously published information, reviewed in an updated format.

Workshops may be half day or full day. A typical Half-Day Advanced Workshop is characterized by 4 speakers, with a presentation time of approximately 40 minutes per speaker including questions. A typical Full-Day Advanced Workshop is characterized by maximum of 9 speakers, with a presentation time of 40 minutes per speaker including questions. These Full-Day guidelines can fluctuate by 1 speaker and ±10 minutes per speaker. The Workshop schedule should clearly identify time slots for attendee participation and discussion. The recommendation for the number of speakers for a Full-Day Tutorial Workshop is between 2 and 6.

The number of slides for distribution to Workshop attendees will be limited to 400 slides for full day and 200 slides for half day. They should be printed with 2 slides per side of a sheet of letter size paper (8.5 by 11 inches).

Speakers for the Workshops should be selected from well-known contributors in the field and as such are expected to be well experienced with publications and presentations in professional technical conferences. The Workshop organizers are responsible for selecting speakers with good presentation skills. All proposals for Workshops shall include the detailed information listed below and should be e-mailed to both Roy Axford (axfordra@ieee.org) and Peder Hansen (peder.hansen@navy.mil) no later than Jan.15, 2007.

Workshop proposals shall include the following:

  • Topic, Advanced or Tutorial;
  • List of speakers, presentation titles and outline/abstracts;
  • Speakers’ biographies and competence/experience relevant to the Workshop Topic; and
  • Desired schedule for the Workshop (i.e., half day, full day, Sunday preceding or Saturday following the main portion of the Symposium).

After Workshop proposal acceptance on Feb. 1, 2007 (TBR), the organizers are expected to work closely with Workshop Committee to meet the following requirements:

  • Workshop Abstract: In order to meet the deadline for advanced program publication, we need to finalize the abstract and speakers’ information by February 15, 2008 (TBR).
  • Workshop Materials & Distribution Release: In order for the Workshop Committee to reproduce the Workshop materials for the Symposium, the authors should submit them in PDF or PowerPoint format online by March 1, 2008 (TBR). After the deadline of March 1, 2008 (TBR) the submission site will be closed and the authors will be responsible for providing the Workshop materials for the Symposium in sufficient quantity. The authors must acknowledge the limited distribution release consent online by checking the proper box.
  • Withdrawal of Speakers: If missing one speaker, we will delete the speaker from the Workshop. If missing two or more speakers, we will cancel the Workshop.
  • Workshop Day: Workshop organizer will meet speakers at breakfast on the day of Workshop and walk through the guidelines and plans for his Workshop. The briefing should emphasize the importance of encouraging attendees to participate in an interactive discussion. The organizer should open the Workshop reminding attendees to participate in short presentations at the planned time slot and active discussions.

Honoraria

Half Day Short Course: $500, split among multiple instructors if more than one.

Full Day Short Course: $1000, split among multiple instructors if more than one.
